Group season is when an agency either looks professional or looks overwhelmed. Forty pilgrims in one group. Six families inside it. Three change their departure date, two upgrade their package, and the group leader calls every evening for an update.
Handling that on paper is possible. Handling it calmly, with the same answer from every staff member, is not. Here is how booking and group management should work in a Hajj and Umrah agency.
Three booking types, one process
Agencies deal with three shapes of booking and they should all flow through the same system:
- Individual booking: one pilgrim, one package, one payment plan.
- Family booking: several pilgrims who must stay together in rooms and transport, often paid by one person.
- Group booking: a larger batch travelling on the same dates, usually with a group leader and sometimes organised by a mosque, community or sub-agent.
The mistake is treating groups as a separate manual process on the side. Once a group lives outside the system, its payments, documents and allocations drift out too.
What a group record should hold
- Group number and name, so everyone refers to it the same way
- Group leader with contact details
- Departure and return dates
- Package assigned to the group
- Pilgrim list with each member’s booking status
- Total collected against total expected
- Document readiness across the whole group
- Room and transport allocation
The value of this is simple: one screen answers the group leader’s questions. Who is confirmed, who still owes money, whose passport has not been submitted.
Booking status and payment status are two different things
This sounds obvious and it is the most common place agencies get confused. A booking can be confirmed while payment is partial. A booking can be fully paid and still pending because the visa has not been applied for. Keep the two statuses separate and visible side by side:
Booking status: enquiry, pending, confirmed, cancelled, completed.
Payment status: unpaid, partial, paid, refunded.
When both are visible in one list, your operations team can filter for the only rows that matter today — confirmed bookings with partial payment and a departure date inside three weeks.
Handling changes without chaos
Changes are normal in this business. A pilgrim upgrades from quad to triple. A family postpones to the next Umrah batch. Someone cancels two weeks before departure.
The system should let you change the package on an existing booking, move a pilgrim between groups, and record a cancellation with its refund terms — and the payment record, room allocation and reports should all follow automatically. If a change means re-entering the pilgrim somewhere else, the system is not connected properly.
